Introduction to the SafetyCulture app

How can I sort and filter my Actions?

You can filter your Actions by status, Site and assignee. You can also sort them in different ways, for example by Last updated time or Priority.

Conduct an Inspection

SafetyCulture User Guide Course - Lesson Excerpt

Conducting an Inspection This lesson will walk you through conducting your first inspection, including the kinds of questions you can expect to see.

The "Site" question appears as a mandatory question if you have Sites set up in your iAuditor account.

If you have a long list of Sites, you can use the search function, or you can just select it from the list.

Since this question has failed, we could add a note here to provide additional context.

Here is a space for you to add your note by typing on the keyboard.

If you find it easier, or can't get to your keyboard, you can use the dictation feature to speak the words out loud instead.

After taking a photo, you can annotate it to make it as clear as possible where the problem is. Choose from various shapes and colours to make specific details on the image stand out.

When you're happy, hit Done in the top right corner to either take additional photos, or save your evidence to the inspection.

Any evidence you add will appear right underneath the question you added it to. This evidence will all be visible on the inspection report, too!

What kind of media evidence can I add to an inspection? Select all that apply.

Sending an Inspection Report

You will then be taken into a preview of the report. Click Preference here to apply a Report Preference - This means you can decide what information is included in/hidden from in the report.

You just need to deselect any of these items to make sure they're hidden. For example, a client may not need to see the Instructions or Failed Items, so you could deselect those boxes to hide those elements of the report. Hit Done when you're ready to save the filters.

When you're on the report preview page, you can click the three dots in the corner to access other exporting options.

You can share the report as a public web link, or download or send it as a Word document instead.

You can close the report to save it and go back to the Inspections menu.

When you're back on the Inspections menu, you can tap any inspection to view more details, or tap View Report to generate and send a report. Continue to find out what happens when you tap one of these inspections on the menu.

Send an Inspection report

SafetyCulture User Guide Course - Lesson Excerpt

Sending an Inspection Report After you've completed an inspection, you often need to send it out to the right people. Your inspections will already be visible to your managers within iAuditor, but if you do need to send and email a copy of the report, this is what we're going to cover.

You will then be taken into a preview of the report. Click Preference here to apply a Report Preference - This means you can decide what information is included in/hidden from in the report.

Creating an Action

SafetyCulture User Guide Course - Lesson Excerpt

Turn Issues into Actions The Actions feature allows you to identify, track and complete tasks.

You can create Actions to highlight something that needs to be fixed.

Each Action includes a built-in chat and activity feed, where you and your team members can collaborate. All logged with timestamps so you can keep track of everyone's interaction with an Action from start to finish.

During an Inspection if you need something to be resolved or followed up, you can create an Action by tapping the "Action" option underneath a question.

First give your Action a title & description - the task should be clear at first glance

If you have the Sites feature enabled, you'll see the Site here is the same as the one you selected at the start of the inspection, however this can be changed if the Action should be done at another location!

The Assignee field is really important, because here you're deciding who is responsible for this Action. You can assign an Action via email address if the assignee doesn't have an SafetyCulture account. The assignee will always be auto-notified as soon as you create the Action.

Add the priority - The more urgent the task at hand, the higher the priority. You'll be able to filter your Actions by priority from the Actions menu.

Finally set a due date at the bottom. By default someone has 7 days to close out an Action, but you can change this date depending on the urgency. The due date is key because if the assignee has a SafetyCulture account, advance and overdue reminder notifications are triggered around this date.

Creating an Issue

SafetyCulture User Guide Course - Lesson Excerpt

Creating an Issue Creating issues in SafetyCulture is quick and simple. Let's show you how to do so in this lesson.

Log into iAuditor Navigate to the menu bar at the bottom and tap Issues

Tap the + button to raise an issue.

Select the type of issue you are reporting from the available categories.

Here's an example of how to complete the Issue Details.

In your Issue Activity screen, you can see the changes that were just made. Navigate to the upper left of the screen and tap Close to save the details.

Any updates to the Issue are tracked and time stamped in the Activity Screen?

After raising an Issue I can't add any more details
